THE MECHANISM

How AI Assistants Decide Which Businesses To Name

Most assistants answer in two steps. They retrieve a set of pages from a search index, then they write an answer using the sources they can actually read and corroborate. A business gets named when its information is machine readable, consistent everywhere it appears, and confirmed by sources other than its own website.

That two step process is why being "on the internet" is not the same as being available to an assistant. Each step throws work away. Retrieval throws away anything the index does not hold. Synthesis throws away anything the model cannot read cleanly or cannot verify against a second source.

Different assistants read different indexes

They are not all looking at the same web. ChatGPT's search leans on Bing's index. Google's AI answers work from Google's index and its Knowledge Graph. Grok leans on the live web and the conversation happening on X. Claude draws on what it learned in training plus its own web search, and Perplexity runs its own crawler. That is why a business can turn up in one assistant and be missing from another, and why checking only one of them tells you very little.

Corroboration is the trigger

An assistant is reluctant to recommend a business on that business's own say so. What moves it is agreement: the same name, the same location, the same services, and the same phone number appearing consistently on your site, your Google Business Profile, directories, review platforms, and anywhere else you are written about. Contradictions are not neutral. A model that finds two different answers about your hours or your service area often resolves the conflict by naming someone else.

It has to be liftable

Assistants quote passages, not whole pages. A page that answers a question directly, in a sentence that stands on its own, is far easier to reuse than the same information spread across three paragraphs of preamble. This is the part most sites get wrong even when everything else is right.

Ranking Number One On Google Does Not Carry Over

Traditional ranking and AI citability are separate problems. Ranking decides the order of a list of links. AI citation decides whether your business gets named inside a written answer. You can win the first and lose the second, and plenty of good businesses do.

The reason is that they are judged on different things. A page can rank because of links, relevance, and history while still being nearly unusable to an assistant: prices and services rendered by scripts the crawler never runs, no structured data describing what the business is, claims that appear nowhere else on the web to confirm them.

What Moves AI Visibility

There is no setting to switch on. What changes the answer is unglamorous engineering: making the site readable, making the facts consistent, and making the content quotable. In rough order of how much it matters:

    Content that exists in the raw HTML

    The major AI crawlers fetch your HTML and do not run JavaScript. If your services, service areas, prices, or FAQs get drawn in by scripts after load, an assistant never sees them. This single issue silently removes a lot of otherwise good sites from consideration.

    One consistent set of facts about the business

    Name, address, phone, hours, and services identical on the site, the Google Business Profile, and every directory and profile that mentions you. This is what lets a model corroborate, and corroboration is what it needs before it will name you.

    Structured data that describes the entity

    Schema markup does not force a citation on its own. What it does is remove ambiguity about what your business is, where it operates, and what it sells, so search engines and models file you correctly instead of guessing.

    Answers written to be extracted

    Question-shaped headings, with the direct answer in the first sentence underneath and the detail after it. Real tables for real data. The goal is a passage an assistant can lift intact without needing the rest of the page.

    Evidence that lives off your own website

    Being written about, listed, and reviewed elsewhere is the strongest form of corroboration, because it is the part you cannot simply assert about yourself.

    Content that stays current

    Assistants lean toward sources that look maintained. Pages that are updated when the facts change get treated as more reliable than pages that have sat untouched for years.
